the Spanish Supercomputing Center (BSC/RES) opened this year's call for scientific workshops. Would that be something to support the Einstein Toolkit meeting in Lisbon next year? Please check the information below and their website. The proposal does not look to involved and the BSC/RES would fund up to 3000euros per accepted event. The deadline is 18th December.

thanks, this looks very nice. Portugal is not part of the RES, however, so i don't think we can apply for this if we are to organise the workshop in Lisbon... this seems to be only for researchers based in Spain.
speaking of that, though, in order to see if we could find local funds to organise the European ET meeting/school here in Lisbon, it would be good if we had some sort of budget to see how much would be needed... since i'm not too experienced in these things, does anyone have something like that (maybe from previous editions)? should we also create a working group for this?

Dear Miguel, Einstein Toolkit workshops are very informal. The first one we had in Europe (Stockholm 2015) did not have any supporting funds, but for a small donation from Christian Ott that covered the cost for coffee breaks (which consisted in cookies, juices, and coffee bought at a local supermarket). In Trento 2016 I had a grant that I used to cover lunches and coffee breaks for the participants, while in Palma 2017 the meeting was hosted in a resort which had all inclusive (so coffee breaks and lunches were included in the accommodation expenses paid by each participant).
As long as we can have a room where we can meet (equipped with a projector and a blackboard, plus wifi and power strips), that is fine. If you can find some money to support coffee breaks that could be useful.
The most important thing is that there should not be any conference fee charged to participants.

for sure we could find funds for coffee breaks and such. the reason i was mentioning a more detailed budget was that in one of the telecons it was mentioned organising something more in the spirit of a school. this would require lecturers and/or invited speakers... so for this sort of event some more funds would be required. is this something worth considering, or shall we stick to the format used in the previous meetings?

Hi Miguel, in Trento we had a school, but not in Stockholm (we had just a one-day tutorial) or in Palma. In Trento I remember covering part of the traveling expenses for two of the lecturers (I had some financial support also by my department and from another professor).
Having a school would be nice, but maybe we can find lecturers that could come at no cost because interested in attending anyway the workshop. We could also investigate if we could arrange to have together with the ET workshop/school a meeting of a working group of one of the existing COST actions (that could help). But this is something we need to discuss. Next Monday I will be at the office and we can discuss during the ET call.

Having a school would be nice, but maybe we can find lecturers that could come at no cost because interested in attending anyway the workshop. We could also investigate if we could arrange to have together with the ET workshop/school a meeting of a working group of one of the existing COST actions (that could help). I would add that the organization of a school (for which there is always interest, from past experience) is much more than finding some financial support for the lecturers. While, after many iterations, we have now a lot of quality training material that can be reused in future schools, organizing a reasonable program remains a huge undertaking. This is especially true for the hands-on parts, where each student would ideally have a temporary account on a local system where the ET can be installed with relative ease. This may involve a lot of testing and negotiating with your IT department.
As a first step, I'd suggest to check that there's enough local organizers and infrastructure to work out the school program and set up the logistics.
